Applying Through the CAO in 2026: Everything You Need to Know

Applying Through the CAO in 2026: Everything You Need to Know

Are you planning to study at a university in KwaZulu-Natal or some parts of the Eastern Cape in 2026? If so, chances are you'll need to apply through the Central Applications Office (CAO) — a streamlined application system that allows you to apply to multiple institutions and programmes using one application.

Here’s everything you need to know about how the CAO works, which universities use it, how to apply, and what to expect.

What Is the CAO?

The Central Applications Office (CAO) is a centralized online application portal used by several public universities and TVET colleges in South Africa. It allows prospective students to apply for up to six programs across multiple institutions using just one application and one application fee.

It simplifies the application process and is ideal for students who want to maximize their chances of getting accepted to a tertiary institution.

Universities That Use the CAO

The following institutions accept applications via the CAO:

  1. University of KwaZulu-Natal (UKZN)

  2. Durban University of Technology (DUT)

  3. Mangosuthu University of Technology (MUT)

  4. University of Zululand (UNIZULU)

  5. University of Mpumalanga (UMP) – limited programs

  6. Some KwaZulu-Natal TVET Colleges

Note: Universities like Wits, UCT, TUT, UP, UJ, SU, and UNISA do not use the CAO. They have their own online portals.

How Much Does It Cost?

  • R250 for South African applicants

  • R300 if applying after the on-time deadline (usually 30 September 2025 for 2026 studies)

The application fee is non-refundable, and you must pay it before your application will be processed.

How to Apply Through the CAO (Step-by-Step)

Step 1: Gather Your Documents

Before applying, make sure you have:

  • A certified copy of your ID or passport

  • Certified Grade 11 final results (if you're in matric) or Grade 12 certificate

  • Certified proof of payment (R250)

  • Any other documents required for your chosen programs (e.g. medical certificate, portfolio)

Step 2: Make the Payment

Pay R250 using one of the following options:

  • Online via debit/credit card on the CAO website

  • EFT or direct deposit to the CAO account

  • Use the EasyPay number provided on your reference slip if paying at Pick n Pay or other retailers

Use your ID number or CAO reference number as the payment reference.

Step 3: Apply Online

  • Go to www.cao.ac.za

  • Click on “Apply”

  • Fill in your personal details

  • Create your CAO number (this will be your reference for all applications)

  • Choose up to 6 program choices, ordered by preference

  • Upload your supporting documents

  • Submit your application

You can save and return to your application later using your CAO number and password.

How Many Programs Can You Apply For?

You can apply for up to six (6) programme choices across any of the CAO-participating institutions. Here's how that works:

  • You may apply for more than one course at the same university

  • Or apply to different institutions (e.g., 2 courses at UKZN, 2 at DUT, 2 at MUT)

  • The order of choices matters – institutions will review your application in the sequence listed.

What Happens After You Apply?

  1. You’ll receive an SMS or email confirmation with your CAO number and application status

  2. The universities you applied to will assess your application individually

  3. You’ll get offers or rejections via SMS, email, or by checking your application status online

  4. You can accept an offer online through the CAO portal

Important Deadlines

  • On-time application deadline: 30 September 2025

  • Late applications (with R300 fee): accepted until specific institutional cutoffs, often in November or December

Some competitive programs (e.g., Medicine, Law, Education) may close earlier, so apply as soon as possible.

Benefits of Using CAO

  • One application for multiple universities

  • Only one fee for up to 6 programs

  • Track your status in one place

  • Easy to make changes (e.g., swap courses before closing date)

Final Tips

  • Apply early – don’t wait until September

  • Rank your choices wisely – your first-choice matters

  • Keep your documents certified and ready

  • Use a valid cellphone number and email – all communication goes through those
